YOUTH Lists Administrative Staff

INTRODUCTION

Youth Guardian Services (YGS) operates four email lists for youth and young adults, herein referred to as the "lists". The lists are broken down into different age groups.

In order to maintain a safe environment for all list members, YGS keeps date of birth information on file for age verification and unsubscribing users when they reach the age limit on certain lists.

To create safe cyber spaces for our members, YGS has carefully created and adopted several rules for subscriber and list safety. YGS asks that all list subscribers adhere to the following rules.

1.0 DEFINITIONS

subscriber - any qualifying individual that has a subscription to any list that YGS serves.

list - an automated email distribution system that emails all subscribers on the list the messages sent to the list address.

list address - the email address a subscriber uses when wanting to send a message to all subscribers on a list.

staff member - any List Manager, Assistant List Manager, Lists Coordinator or Executive Staff member of Youth Guardian Services.

rules - this set of rules that governs the operation of the lists.

2.0 REQUIREMENTS / QUALIFICATIONS

2.1 Age Range Requirements
In order to be a subscriber of any of the lists, you must be of the proper age for that particular  list. The age range and limits are as follows:

  • YOUTH13-17 List is for 13 to 17 year old youth*
  • YOUTH17-21 List is for 17 to 21 year old youth and young adults**
  • YOUTH21-25 List is for 21 to 25 year old young adults***
  • STR8 List for 13 to 25 year old youth and young adults*
  • LivingColor List for 13 to 25 year old youth and young adults*

* Subscription requests from persons younger than 13 considered on a case by case basis by YGS Staff
** 17 year olds may subscribe to either or  both YOUTH13-17 and YOUTH17-21 and/or STR8 list.
*** Active list members of YOUTH21-25 may remain on the list upon reaching their 26th birthday.

2.2 Age Removal

removed by YGS Staff or automatically by the list processing software.

3.0 SAFETY RULES
3.1 Acceptable Message Content
Examples of acceptable and encouraged messages include: introductions, messages regarding coming out, love, relationships, sexual issues, health, school, friends, family, and other gay- and non-gay-related issues that do not fall in the categories of unacceptable message content.

3.2.1 Personal Information
Subscribers are not permitted to send a message to the list that contains any personally identifiable contact information such as telephone numbers, addresses, pager numbers, cellular phone numbers or any other communication beyond email, personal homepage, or instant messaging.

3.2.2 Dating/Meet Requests
The lists are not a dating service. Subscribers who use the lists to solicit a date or meeting with another subscriber will be in violation of this rule. See the Rules Examples for more details and further explanation of this rule.

3.2.3 Unfriendly or uncivil behavior
Subscribers are not permitted to send any message targeted to any subscriber or staff member that can be interpreted as any of the following:

  • the offer of or solicitation of sex or sexual contact of any kind
  • excessive vulgarity
  • harassment
  • bashing
  • emotional abuse
  • threats of physical violence
  • attacking an individual's religious beliefs

  • sending a private conversation to the list
  • personal attacks of any nature

  • See the Rules Examples for more details.

    3.2.4 Forwarded Non-Subscriber Content
Subscribers are not permitted to send a message on the behalf of, or forward an email from, any other non-subscriber, including anyone who was formerly a list subscriber.

    3.2.5 Advertisements/Announcements/Surveys/Research
Advertising any product or service may result in immediate removal from the list.

Announcements and surveys for individuals, organizations, groups, and other entities that a subscriber might be involved with should be sent to a staff member for approval.

All requests for research projects need to have the approval of the Executive Director.

    3.2.6 Cross Posting/Forwarding

Subscribers are not permitted to send a cross-posting, forwarded information or humor except in cases where it has a clear relevance or interest to the list members in general and has received prior written approval from a staff member.

    3.3 User Safety
Any email coming from any list may not be forwarded to any remote address or location in any form without the express written permission of the Lists Coordinator.

4.0 SERVER OPERATION AND USABILTY RULES

4.1 Brief Message Content - "One Liners"
Subscribers will not send a message of extreme brief content, also know as a "one-liner" to any list. Subscribers are encouraged to send a message of measurable size appropriate for the discussions of the list. See the Rules Examples for more details.

    4.2 Personal Nature
Subscribers should not send message replies to the list that would be more appropriate for a direct private email to the other subscriber. See the Rules Examples for more details.

    4.3 HTML Email
HTML formatted email should not be used to send a message to the list. Subscribers will only send messages in standard text format to the list. See the Rules Examples for more details.

    4.4 Attachments
Under no circumstances may attached files of any type be sent over the list. Violation of this rule can result in immediate suspension or expulsion from the list.

    4.5 Bounced Email
If an email from the list sent your email address comes back as undeliverable by your Internet Service Provider, you will be unsubscribed for the list by a staff member or automatically by the list processing software.

    4.6 Forwarding Email
Subscribers may not automatically forward mail coming from the list to another email account without prior permission from the Lists Coordinator.

5.0 EXCEPTIONS TO SAFETY OR SERVER OPERATION AND USABILITY RULES

Cross Posts, Forwards, Announcements and other exception clauses in these rules should be approved by an appropriate staff member before sending to the list. In some cases the staff member will send to the list for you, as to show that an actual approval was given.

    6.0 ENFORCEMENT OF RULES

    6.1 Duties of Subscriber
In the interest of the list remaining a safe space for youth and young adults, it is
the duty of every subscriber to report any violations of these rules and guidelines or any incidents of harassment or violation to the list staff members, Lists Coordinator or YGS Executive Staff.

    6.2 Amendments
These rules may be amended by the Lists Coordinator or YGS Executive Staff  at any
time without prior notice to the subscriber. Upon changes to the rules, all members will be notified via an email sent to the list.

    6.3 Rights of Staff
Staff members reserve the right to refuse or cancel membership to anyone, for any reason, including, but not limited to, fraudulent statement of age, incorrect age range for subscribed list, and/or violations of the list's established rules and guidelines listed herein or as they may be amended from time to time.

6.4 Staff Notifications of Rules Violations
When a subscriber is in violation of these rules, a staff member will contact the subscriber via email and issue a reminder, warning, suspension, or expulsion. Multiple warnings can lead to suspension or expulsion from the list. A suspension is a period of time as set forth by list staff in which the subscriber is removed from the list for the time period set. Subscriber will be resubscribed to the list by staff after the period ends. Suspension time can range from a few days to a week or more depending on the severity of the rules violation. Expulsion means permanent removal (banned) from the lists. Expulsion usually results from blatant disregard for the rules or severe attacks on subscribers or staff.

    6.5 Disagreements
In cases of disagreements between a subscriber and a staff member(s), the decision of the Lists Coordinator shall be final.

    6.6 Age Verification
Information contained in subscription requests will be considered to be true and valid until presented with suspicion to the contrary, and will remain private and confidential. If a fraudulent age suspicion arises, a subscriber may be asked to prove age validity. In order to do this, a subscriber may be asked to mail a copy of his/her driver's license or student ID. The home address may be marked out; however, the ID must show date of birth and/or picture of subscriber. All list subscribers agree to provide this proof upon demand, and failure to do so may result in removal from the list. These precautions must be taken in order to preserve the integrity of the youth only atmosphere. Subscribers may be asked to send proof of age at any time while they are a member of the any YGS list. The request to send proof of age may be made only by the Lists Coordinator or YGS Executive Staff, and may be made either subjectively, or completely at random.
